Setup guide

Connect HubSpot

Start ID and AML checks from a HubSpot contact and get the result written back to the same record. Setup takes about five minutes.

What the app does

IdentityCheck adds KYC and AML fields to your HubSpot contacts. When someone on your team sets a contact's KYC Command to start, IdentityCheck emails that person a secure link to verify their identity. When they finish, the result, status and report land back on the contact. Your team keeps working in HubSpot.

Before you start

  • An IdentityCheck account. If you don't have one, start a free trial. No card is needed.
  • A HubSpot user who can install apps in your HubSpot account, usually a Super Admin.
  • An IdentityCheck account admin to sign in and connect.

1. Open Integrations in IdentityCheck

Sign in at identity.stackgo.io and go to Account, then Integrations. On the HubSpot card, click Manage.

If you started from the HubSpot Marketplace, clicking Install brings you to this page. Sign in or create your account, then carry on from here.

2. Approve access in HubSpot

HubSpot opens and asks which HubSpot account to connect, if you have more than one. It then lists the access IdentityCheck needs: your contacts and companies, the custom properties it creates, and file uploads for reports. Click Connect app.

You never share your HubSpot password with IdentityCheck. The connection uses HubSpot's own authorisation, and it renews itself, so nobody has to reconnect or copy any codes.

3. Let IdentityCheck set up your fields

You come back to IdentityCheck on a Finishing HubSpot setup screen while it creates its contact properties in your HubSpot account. It only creates each property once, so reconnecting won't make duplicates.

PropertyWhat it's for
KYC CommandThe switch your team sets to start or stop a check.
KYC StatusTracks the check: started, in progress, then the decision.
Revalidation dateWhen the person is due to be checked again.
AML Command and AML StatusAdded if you use the Tranche 2 risk-assessment flow.

If a property couldn't be created, the screen says which one. Click Retry. An admin can also finish setup later from the HubSpot settings page in IdentityCheck.

4. Configure your checks

In IdentityCheck, open Account, then Integrations, then HubSpot to choose how the integration behaves. For example, which phone property to use for SMS links. Your verification settings (what the check includes, branding and reminders) apply to checks started from HubSpot too.

5. Run a check

From a contact (manual)

  1. Open the contact in HubSpot. They need an email address.
  2. Set KYC Command to start. For a full Tranche 2 assessment, set AML Command to start instead.
  3. IdentityCheck emails them a verification link straight away and sets KYC Status to Started.

From a workflow (automated)

To check people automatically, use a HubSpot workflow to set the property. For example: when a deal reaches Closed won, set KYC Command to start on the associated contact. The workflow fires the check exactly as a person would.

Stopping a check

Set KYC Command to Terminate. That ends a check that's still running and adds a note to the contact.

6. See the result in HubSpot

When the person finishes, IdentityCheck updates the contact:

  • KYC check: KYC Status and the identity result, plus PEP and sanctions status and the check date.
  • Tranche 2 assessment: Risk Rating, RA Completed Date, RA Completed By, Risk Assessment Link and AML Status.
  • A note on the contact and a copy of the report in HubSpot Files.

Disconnect or uninstall

You disconnect IdentityCheck from inside HubSpot, and that uninstalls the app:

  1. In HubSpot, click the Marketplace icon in the top bar, then Connected apps.
  2. Find IdentityCheck and choose Actions, then Uninstall.
  3. Confirm. IdentityCheck disappears from Connected apps, and setting KYC Command no longer starts a check.

To connect again later, repeat step 1. Your existing fields are reused.
